Video Conference Center Instructions

Internet Bandwidth

The internet bandwidth required is generally obtained with a commercial rather than a consumer account with a telephone or cable company. The preferred minimal level of service is 1 Mbps upload speed and 6 Mbps download speed.

Minimal Equipment Needed

Individual(s) With Own Computer(s):

You will need either a desktop computer, or a laptop, with a webcam and headset/microphone combination or ear pods and microphone.

Google search “headset with microphone” – and “webcams” for a range of possibilities. We successfully use a Logitech Orbit A4 webcam, and a headset/microphone combination. All such equipment can be found at places like RadioShack, Best Buy, CompUSA, and the like.

Any individual can participant with their own computer (up to 4 per conference). If there are 4 users with 4 separate computers in the same location, and sharing same internet connection, be mindful of the bandwidth usage/capabilities or consider sharing a computer (see Groups Sharing A Single Computer – below).

Two People Sharing A Single Computer:

If two people are sharing a computer, each will need their own headset/microphone combinations and two headset/microphone y-splitters. (Available at RadioShack)

Group Conference (3 Or More People)

With a group of three or more people (and up to 10) sharing the same computer, you will need the following:

  • a wide-angle webcam
  • a tabletop microphone with AEC (Audio Echo Cancellation) capabilities. Google search “boardroom microphone” for possibilities.

To optimize the audio connection with the tabletop microphone, you can participate in a conference call bridge using the following telephone number and pass code: (805) 360-1000 with Access Code:  860900#. Access to this conference call bridge is toll free, however, you will incur your normal long distance charges for the conference call.

Optimum Group Meeting Setup

Additional individuals may be involved in a conference or training program (up to 3 connections) using individual computers from any location. (For example: One person can be in Dallas, Texas, one in Australia, and one in Boca Raton, Florida.)

How to Access the Video Conference Center

When a Video Conference Center meeting is scheduled, you will be sent a password and a session ID, and this connection link:

To login, each GUEST must enter the password (to be provided), and select a Session ID (to be provided), as well as their first name, last name and email address, followed by clicking on the CONNECT button.

All “Guests” will either enter the Welcome Room and see a clock showing the current time, or be connected directly to the New Home Sales Specialist meeting facilitator.

For Mac Users

Sometimes the Mac does not immediately recognize the webcam. Should you have difficulty in connecting your webcam on your Mac, please watch this quick video tutorial (3 min) on how to check your video camera and microphone connections.

If there is still a problem connecting, then be sure you are using the latest version of Adobe Flash (10.1).

Final Tips for a Good Connection and a Great Meeting

  • A meeting is best accomplished when participating from a quiet location.
  • Built-in or external speakers can cause echo. We recommend reducing the speaker volume to a low level.
  • Webcams or laptop with microphones can pick up additional noise and cause echo. Using a Webcam for your audio is not recommended, which is why we recommend the headset/microphone combination.
  • If using a microphone other than with a headset, move the microphone closer to your voice and away from competing sounds (i.e., computer fans).
  • Avoid moving or touching the microphone during your meeting.

Please ensure that your headset or ear buds and microphone are plugged into the computer and functional before your scheduled meeting. Scheduled participants must schedule an equipment test at least 24 hours before the meeting. Contact our office to schedule the tests.
